Build-up and Breakdown

Any exhibitor or contractor entering the hall during the build-up period will be asked to acknowledge our Site Rules , sign-in on entry, and will be issued with a wristband for the day. Security staff will ask for your stand number and name before sign-in is allowed.

Please be aware that contractors will not be allowed into the hall for breakdown until 30 minutes after the show closes on the final day; please do not ask your contractor to come to the hall before that time as security will not allow them access. All arrangements for breakdown must be made during the times contractors are allowed into the hall.

Exhibitor Passes

Every exhibitor must have an exhibitor badge in order to access the hall. These badges must be worn at all times during the build-up, open and breakdown periods.

Exhibitor badges are for stand staff only, and will not be issued to anyone not working on a stand; if you have customers, friends, family or colleagues not working on the stand visiting during the show, please ask them to visit the Organiser’s Office to collect a free ticket to visit you at the show.

Please collect your exhibitor badges from the organiser’s office upon your arrival.

Deliveries

All deliveries and collections must be made via the goods entrances into the building. The main entrance foyer of the hall should not be used for the collection of exhibits.

Vehicles must first report to the traffic marshals who will then direct you to the most suitable loading area. . Whilst moving around on foot in the loading area, all personnel will be required to wear a high-vis vest. Hi-vis jackets will not be provided by the organisers and is the responsibility of the exhibitor and contractors to ensure they have the necessary safety equipment to be permitted access to site.

No vehicles are permitted to remain in the loading area overnight. You and your contractors are asked to unload/ load your vehicles and remove them within 30 minutes. Please note this pass doubles as a car parking pass and should be displayed in your window once your vehicle has been removed from the loading doors.

Once unloaded, vehicles must be moved from the loading bays to the outer car parks; the traffic marshals can direct you to a parking place.

For the benefit of all users, drivers must heed the traffic marshals’ instructions.

Couriers

If you book a courier service to have your goods delivered to the exhibition, please read the following information carefully to reduce the risk of your items going missing.

A representative of your company should be present to accept deliveries for your stand; neither the Organiser nor the venue will accept delivery of any goods and cannot accept responsibility for any goods delivered to an unmanned stand. Many couriers will not deliver goods without a signature. If there is no one on your stand to accept delivery they may leave with the goods, which could result in considerable delay and additional costs. If you cannot be present to receive your goods, please contact the Organiser.

If a courier or contractor is delivering your goods please address each package clearly with the following information on the label:

During the show open days, deliveries can only be made between 08.00 and 09.15.

If you have a courier company collecting your goods at the end of the show please check their evening operating times to ensure they are able to collect after the show has closed. Please label your boxes clearly with your stand number and company name. Some couriers arrive after the dismantling of the shell scheme has commenced and often have difficulty locating your stand, as there are no longer stand numbers in position to direct them. As such, you should also include your mobile number on this label so the Organiser can contact you should there be any problem.

There are unfortunately no overnight storage facilities and the Organiser cannot be held responsible for items left in the hall once the tenancy of the hall has ended.

Couriers should proceed directly to the Sandown Park Racecourse; it is not necessary for drivers to register in advance. Once at the venue, drivers will be directed to a suitable offloading point by traffic marshals.

It is not necessary to order any passes for couriers; the appropriate passes will be issued on-site.
